Human Resources Specialist
Job Description
Located onsite in Edison, New Jersey, United Legwear Company LLC is strengthening its HR operations with a dedicated Human Resources Specialist. This role oversees payroll management and end-to-end HR lifecycle support across the United States and Canada, collaborating with leadership to uphold compliance, enhance the employee experience, and streamline administrative processes.
Responsibilities
- Process payroll for North America on weekly, bi-weekly, monthly, and occasional cycles, ensuring accuracy and legal compliance at federal, state, and local levels.
- Review timesheets and related data to identify and resolve payroll discrepancies.
- Handle payroll inquiries, maintain records, verify data, and address issues related to compensation, deductions, and taxes.
- Support Leave of Absence management and ensure compliance with benefits laws such as ERISA, ACA, HIPAA, and COBRA.
- Generate End of Year reporting and on-demand payroll reports for internal and external stakeholders to support compliance, audits, and strategic decisions.
- Assist with annual Open Enrollment and ensure accuracy of employee changes.
- Support merit or bonus processing, ensuring correct earnings and tax implications.
- Identify opportunities to improve payroll and benefits workflows for greater efficiency and accuracy.
- Audit COBRA enrollments monthly to maintain accuracy.
- Serve as the primary intake or back-up contact for benefit vendors and third-party administrators.
- Facilitate onboarding and offboarding related to pay and benefits for employees.
- Support and help optimize new hire orientation and the 30-60-90 day onboarding program for consistent delivery across functions, tracking progress and feedback for continuous improvement.
- Contribute to events and programs that reinforce culture, policy understanding, and workplace expectations.
- Support HR programs, onsite events or campaigns, and annual cycles such as performance reviews, open enrollment, and wellness initiatives.
- Assist in HRIS data entry, reporting, process improvement, and compliance tracking, plus other duties as directed by HR leadership.
- Collaborate with managers on claims related to Workers’ Compensation, Unemployment, and employee leave (Disability, FMLA, etc.).
- Maintain employee personnel files and health/benefits records in compliance with state, federal, and local requirements.
- Provide guidance to managers and employees on policies, performance expectations, conduct, and conflict resolution.
- Assist with ongoing investigations, including intake and documentation support.
- Guide corrective actions or coaching and ensure appropriate follow-up.
- Respond promptly to employee inquiries in the HR ticketing system and maintain case notes in accordance with standards.
- Attend weekly staff meetings to address payroll and benefits issues affecting deadlines and processes.
- Review 1:1 feedback with the HR Manager to optimize workflow, performance management, and the employee experience.
- Support the proactive management of standard operating procedures for key HR functions in collaboration with leaders.
- Participate in required ADP training and annual HR trainings to ensure compliance and cross-functional knowledge related to labor laws.
Requirements
- Minimum of an Associate’s Degree in Human Resources, Accounting, Finance, or Business Administration, or an equivalent combination of education and relevant experience.
