Job Description

This onsite Human Resource Operations Administrator role at Fresenius Kabi in Lake Zurich, IL offers $25-$30 per hour and supports the full HR lifecycle.

Responsibilities

  • Serve as the initial point of contact for employees seeking HR assistance via the Employee Support Center, delivering timely, accurate guidance and escalating complex matters when needed.
  • Manage employee benefits programs such as locker assignments and vouchers for shoes, eyeglasses, and eye examinations, along with other related services.
  • Oversee the end-to-end onboarding workflow, including new hire documentation, HRIS data entry, and coordinating orientation and check-in meetings.
  • Deliver New Hire Orientation to familiarize new staff with company policies, culture, and procedures.
  • Collaborate with hiring managers to ensure a smooth integration of new employees.
  • Coordinate the offboarding process from start to finish, including termination checklists, exit interviews, system access removal, and timely processing of final pay and benefits.
  • Provide data analytics to HR business partners to support proactive improvement initiatives.
  • Process HRIS changes such as promotions, compensation adjustments, data updates, transfers, cost center changes, and terminations.
  • Generate and schedule reports to support compliance, workforce planning, and leadership decisions.
  • Conduct regular audits to verify accuracy, consistency, and regulatory compliance of HR processes.
  • Prepare routine and ad hoc HR reports covering headcount, turnover, hires, exits, and other workforce metrics.
  • Ensure HR processes and documentation comply with federal, state, and local employment laws and regulations.
  • Assist internal and external audits by compiling documentation and answering inquiries.
  • Draft, edit, and distribute HR communications, including announcements, policy updates, and engagement messages.
  • Maintain and update HR intranet content, policies, work instructions, and related resources.
  • Prepare, review, and distribute HR correspondence such as offer letters, compensation letters, and employment verifications.
  • Maintain organized HR files, both electronic and physical, for easy access and compliance.
  • Handle departmental mail and ensure timely distribution of HR-related correspondence.
  • Support HR leadership with process improvements and initiatives to enhance the employee experience.
  • Participate in special projects and cross-functional initiatives as assigned.
  • Monitor and update workplace posters to satisfy federal and state posting requirements.
  • Track and revise job descriptions, maintaining accurate HR documentation.
  • Support employee engagement activities, events, recognition programs, and communications to boost participation.
  • Launch and monitor 90-day evaluations and extensions.
  • Compile and submit exempt overtime reports as required.
  • Coordinate bereavement flowers and charitable contributions when appropriate.
  • Prepare and process purchase orders for HR-related expenses.
  • Support HR communications, including announcements and engagement initiatives.
  • Provide training to other employees as needed.
  • May perform full-cycle recruitment tasks, including posting roles, sourcing candidates, screening, coordinating interviews, assisting with selection, and managing the offer process.

Requirements

  • High school diploma with at least two years of related experience.
  • Bachelor's degree in human resources, business administration, or a related field, plus at least one year of HR experience, ideally in an administrative or generalist capacity.
  • Experience with HRIS platforms is a plus (examples include Workday, ADP, SAP SuccessFactors, or similar).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills with the ability to draft professional HR documents, deliver trainings, and engage with employees and leaders at all levels.
  • Basic data analysis skills to review information, identify trends, and summarize findings.
  • Knowledge of employment laws and compliance requirements.
