Human Resources Administrator
Job Description
Hanna Instruments is hiring a full-time Human Resources Administrator to join our on-site team in Smithfield, Rhode Island. This role supports a broad range of HR programs, including benefits administration, payroll, data management, recruiting and onboarding, HR development, and employee relations. Responsibilities
- Administer all employee benefit programs, including health, dental, vision, life, disability, voluntary benefits, 401(k), and COBRA.
- Coordinate new hire benefit enrollment and the annual open enrollment process; explain program eligibility, resolve questions, research policies and regulations, and communicate clearly and promptly to employees.
- Oversee monthly benefit administration, including billing reconciliation, enrollments, and cancellations.
- Coordinate leaves of absence including FMLA, state-specific leaves, and statutory benefits.
- Assist with accommodation requests under the ADA.
- Collaborate with brokers/benefit providers and the Accounting team to ensure accurate enrollments and billing.
- Report workplace incidents to workers’ compensation carriers.
- Fulfill regulatory mandates and perform required filings.
- Process multi-state payrolls as needed, ensuring accuracy and timely submission, including time off, deductions, and withholdings/taxes.
- Support year-end audit preparation, third-party sick pay integration, and verification/mailing of 941s, W-2s, and 1095-C forms.
- Maintain payroll and time systems by coordinating with CSC Paymaster and IT for updates and maintenance.
- Prepare or update employment records related to hiring, transferring, promoting, and terminating.
- Process personnel action forms and secure proper approvals.
- Conduct regular audits of employee files and I-9 records to ensure compliance with state and federal law.
- Respond to employment verification requests.
- Support the hiring process in partnership with the HR Generalist, including posting jobs, reviewing resumes, and performing reference checks as needed.
- Assist with phone and video interviews as required; ensure new hire paperwork is completed and processed.
- Inform applicants about job duties, benefits, schedules, working conditions, and promotion opportunities.
- Coordinate and conduct new hire training and onboarding as needed; maintain up-to-date HR compliance and onboarding trainings per state and federal requirements.
- Maintain records of employee participation in training and development programs.
- Develop and execute employee engagement initiatives, including events and the annual wellness fair.
- Ensure compliance with state and federal reporting requirements and keep workplace posters up to date.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree in Human Resources or a business-related field.
- 3+ years of experience in Human Resources.
- 3+ years of experience with multi-state payroll.
- 1+ year of Benefits Administration experience.
- Exceptional verbal and written communication skills.
